Unilever Team Energy Assessment Privacy Notice

Team Energy is a Tool developed by Energy Management Experts that provides:

  1. Feedback to leaders on how they are managing their team’s energy and wellbeing

  2. Resources to leaders to make improvements to boost and unleash their team’s energy

  3. Individuals with a confidential energy self-assessment

  4. Teams with an aggregated Team Energy Profile Report

We know that you care about your personal data and how it is used, and we want you to trust that Unilever uses your personal data carefully. This Privacy Notice will help you understand what personal data we collect, why we collect it and what we do with it.

At Unilever we are committed to protecting the personal data of our employees. The purpose of this privacy notice is to provide you with information on what personal data we may process and why we process your personal data in connection with our Team Energy survey.

What personal data will be collected?

The personal data required in order for you to participate in this survey is as follows:

  • When you complete the assessment, some personal data held in Unilever’s Human Resources (e.g. employee email or employee ID number, country) will be provided to our supplier, WorkingWell. For further information on the personal data processed by our supplier, please see “Will you share my personal data with anyone else?” section below);

  • Responses to open ended comment/free text data that might reveal personal data;

  • Any additional personal data we collect prior to or within the survey responses.

    (“your Survey Data”).

  • After you have completed the Team Energy Assessment and submitted your responses, your individual report will be displayed on the screen. You have the choice of entering your personal or Unilever email address so that a PDF version of the report can be sent to you. The email address that you enter is used solely for the purpose of sending you your individual report and will not be shared with anyone or stored by WorkingWell or Unilever.

What will you use my personal data for?

We collect and use your personal data via the platform to:

  • report on the aggregated results of your survey answers;

  • display aggregated scores on Unilever intranet;

  • track survey response rates;

  • send targeted reminders to complete the surveys;

  • obtain your feedback on the Team’s energy;

  • Combine aggregated level responses from this survey with other previously collected aggregated survey responses predefined (Line Manager Manifesto), and other aggregated data from pre-defined HR related data sources at Unilever (such as Learning from Degreed) for similar purposes which includes analyzing trends and ensuring we provide the right tools and support wellbeing and energy for individuals and teams

  • perform various aggregated analyses with the combined data sets;

  • report on the combined results using Power BI showing aggregated data;

  • improve your Team’s energy; and

  • provide technical support to use the platform. (the “Specified Purposes”).

Applicable lawful basis

Participation in our Team Energy assessment is entirely voluntary. Where you take part in the assessment, we will rely upon your consent as the legal basis for processing your survey data in accordance with the Specified Purposes listed above. You can withdraw your consent at any time. In some markets, we may rely on our legitimate interests, being the use of your Survey Data for the purposes of understanding trends including employee engagement and energy levels. Will you share my personal data with anyone else?

We are using a third party supplier, WorkingWell, to conduct this assessment. When you complete the survey, some personal data including function and country will automatically be shared with the supplier. We may also ask for additional information when you complete the survey including your age and gender. This information is provided to the supplier for the purposes of conducting analysis on the survey results and creating aggregated reporting. Your personal data will not be used by our third party supplier, WorkingWell, for any other purposes.

Will my survey responses identify me? Who will have access to my data?

We will not use your survey responses for the purposes of identifying you and have put in place robust measures to prevent identification. There might be exceptional circumstances where we are able to identify you based on a combination of your answers, but we have implemented thorough measures to prevent any such identification. Your responses will remain confidential and will not be used for the purpose of identifying you.

Your survey data may be accessed by you, Working Well’s Team, Power BI support team, Unilever’s Analytics and Insights team, for the Specified Purposes described above. Line managers will receive aggregated data based on their direct and indirect reports. Your individual survey responses will be available to Unilever’s Analytics and Insights team who require it for reporting purposes; the responses are not accessible or viewable outside this Unilever team and reporting back to the company will be provided only at an aggregated level. Aggregated numerical data and pseudonymised textual data may be shared with third party companies that the Employee Insights team partner with for further analyses. Data will always be encrypted and password protected prior to any sharing with a third party partner.  

How long do we keep your data for?

Your answers will be depersonalised by removing individual identifiers associated to your responses in five years, after termination of your employment or engagement unless a different retention period is mandated by local laws or regulations.

Transfer of personal data outside of the EEA

For employees within the EEA, we may transfer your personal data internally to markets outside of the EEA in accordance with our intra-group agreements.
